This letter can be used when you have enough information to set up a new account for its initial order but would like additional reference information going forward.

  1. The letter should thank the customer for the order.
  2. The customer should be told when the order will ship.
  3. The new customer is told the tentative credit limit.
  4. A request is being made for the name and phone number of a bank officer who handles the customer's account in order for the credit department to obtain additional information.
  5. Apparently, the credit department has enough information upon which to approve the initial shipment and the granting of a temporary credit limit, but desires additional data. There is no reason why a sale should be refused or delayed because all of the desired information is not available as yet.
  6. The salesperson should receive a copy of this letter as a courtesy.
  7. An asterisk in the appropriate data field could indicate that the credit limit established is considered to be temporary.
  8. A follow-up should be set for ten business days after the letter is sent.

Note: As always, your situation and style will be unique so this can serve as a template to get started.
